Subcommittees

2016 - 2017

Subcommittees of the Public Affairs and Marketing Network are open to all members. Each subcommittee is led by one or more steering committee members.  In addition to the following subcommittees, the steering committee plans the annual meeting each year at the host location. We welcome input and assistance from general members in planning the annual meeting by suggesting session topics, workshops and speakers.   • Webinars Committee

    Identify, create and manage webinar sponsorship opportunities for year-round learning, enabling its members to build and hone their skills, share best practices, and to address important issues in a timely manner. Previous seminars have included topics ranging from social media challenges to interaction with pharmaceutical and biotechnology companies. Seminar formats include case studies, lectures and interactive discussion. Draw from experts among our PAMN membership as well as industry experts to lead the seminars. Suggestions on topics and experts are welcome.
    • Determine 4 educational webinars-sponsorship opportunities and oversee implementation.
    • Develop any copy or graphics to describe the event and work with communications committee to promote webinars and archive on the PAMN website.
    • Organize any speakers or vendors for each educational event.
    • Ensure SalesForce sends out membership invitations/reminders; tracks RSVPs; sends out the feedback survey; convey results.

  • Membership Committee

    The membership committee manages all aspects of renewing membership for current NCI PAMN members and recruiting new individuals to the organization. Membership drives begin in January. The membership committee maintains the email network of current members.
    • Organize membership drive annually prior to the conference date.
    • Ensure SalesForce process is updated and accurate for classification, payment and membership data, regardless when the membership request is made.
    • Ensure SalesForce membership survey is implemented and incorporated.
    • Ensure SalesForce data is tied to the financial reporting.
    • Ensure SaleForce process for soliciting conference ideas, webinar ideas and product/service expectations is timely/accurate.
    • Ensure membership categories are set up in SalesForce, such as senior leaders, general, committee members, organizational type and other groupings.
    • Assign existing members with new members; communicate to both parties, using SalesForce to send out communications.
    • Collaborate with host committee to identify new members; set up any opportunity for PAMN Pals to meet.

  • Communications Committee

    The communications committee works with the steering committee to set policy and strategy for how communications and social media are used within PAMN. Develop a communication plan working with the steering committee leads on topics such as member messaging, conference and webinars ideas, membership drive, sponsorship drive, elections, benchmarking survey, etc.
    Social Media/Web Content: Manage the NCIPan.org website and its content on a regular basis. Routine content audit and strategic planning - especially for Annual Meeting content, Election content, RFPs, and MyPAMN content, making this feature more engaging to our members. Write and edit content, and manage communications and posting with Gelb team. Manage the LinkedIn account, working with membership to accept new requests if paid in full, respond to comments and engage audience. Manage Facebook and Twitter, more frequently posting from the Annual Meeting and planning meetings and as needed throughout the year.
    PAMN Post: Manage the creation and distribution of the quarterly PAMN Post e-newsletter, with PAMN member Dorsey Griffith driving the content and this position overseeing editorial selection. Liaison between the steering committee and pertinent information and Dorsey. Edit content once designed, final approval of enewsletter and editorial calendar.
    Email Communications & Content Calendar: Manage content calendar for eblast communications about new leadership, webinars, and conference info, etc. – planning communications monthly and working with Steering Committee to ensure the e-calendar is updated and all content is received, edited and sent to Gelb for distribution. Check the PAMN Gmail account regularly and respond to inquiries. Ensure SalesForce process for these monthly communications are updated and accurate.

  • Sponsorship Committee

    The sponsorship committee coordinates communications and recruitment of vendors to sponsor the annual meeting. PAMN and NACCDO designate one or more steering committee members to collaborate on this effort. Working together, they maintain information on sponsorship levels, lists of vendors, and email communications to vendors.
    • Review annually and determine sponsorship categories and opportunities with NADCCO.
    • Enlist steering committee for sponsorship contacts and engage SalesForce to send out save the date notices, sponsorship packages renewals and notices; assign steering committee member to each sponsor at conference.
    • Ensure SalesForce has an accurate sponsorship list and tracking process, connected to the host site tracking process for financial updates and commitments; work with host team on exhibit space and member engagement.
    • Update monthly to the steering committee, enlisting member’s help if necessary.
    • Ensure SalesForce tracks historical data and current participants, according to the existing Sponsorship template.
    • Ensure SalesForce conference survey is sent annually for feedback; track results and present in July meeting.

  • Conference Curriculum Committees

    Marketing Conference Track Committee

    This committee recommends Marketing and PR tracks for the conferences, working in conjunction with the steering committee members. They organize steering committee members to manage different topics and speakers for the annual conference. In addition, this committee works with the host committee to update and organize the tracks for the annual conference. 


    • Lead organization and development of marketing and PR tracks for the conference.
    • Organize committee members to manage the different topic tracks and paperwork for each track/speaker.
    • Provide update on session schedule during monthly calls.
    • Ensure for good variety of sessions based on membership survey from conferences past; user information.

  • Elections Committee

    Manage annual elections campaign for new steering committee and recruitment.
    • Organize elections annually prior to the conference date – attaining bios, headshots, information from candidates and developing a timeline strategy for membership voting.
    • Ensure SalesForce process is updated and accurate for sending out membership communications and tracking results.
    • Communicate the results to the chair and vice chair – who will communicate to the steering committee and candidates.
    • Provide all bio information on winners to the communications committee for inclusion on the website.

  • Gelb Relationship Committee

    Manage the Gelb relationship, agreement and payment.
    • Ensure projects outlined in the agreement are implemented
    • Ensure the value added benefits from the agreement are implemented.
    • Recommend to the steering committee current and future use of this vendor to help with steering committee efficiency.
    • Update the benchmarking survey annually via SalesForce; determine reports and recommend a communication plan.

  • NCI Meeting

    Organize the National Cancer Institutes Annual Meeting in Washington, D.C.
    • Secure the NCI participants and set agenda.
    • Secure hotel and transportation details; use SalesForce to ensure steering committee participation.
    • Recommend steering committee agenda and secure any hotel or facilities for this meeting.
    • Collaborate with Treasurer on budget and expenses.
